Automation is the single highest-leverage AI move a small operator can make. It’s the difference between doing the repetitive work and having the repetitive work just… happen. Three names dominate the no-code automation world: Zapier, Make, and n8n. They look similar on the surface and price wildly differently underneath — and at scale, the wrong choice can cost you ten times more than the right one.
The thing nobody explains clearly: how they charge
This is where people get burned, so read this part twice. The three platforms meter usage in fundamentally different ways:
- Zapier charges per task — every single action counts. One workflow that checks a condition, enriches data, and updates your CRM is three tasks. (Octave)
- Make charges per operation — similar, but generally far cheaper. Make delivers visual workflow power at roughly 60% lower cost than Zapier. (Octave)
- n8n charges per workflow execution on cloud — or is effectively unlimited if you self-host. (Octave)
That difference sounds academic until you run real volume. At 5,000 leads a month, you’re looking at 25,000–40,000 tasks on Zapier versus 5,000 executions on n8n. A self-hosted n8n instance on a $50/month server can handle what would cost $1,500+ on Zapier. (Octave) The pricing model isn’t a detail. At scale, it is the decision.
Where each one actually fits
Zapier — the fastest path to "it works." 7,000+ integrations and the simplest UX in the category. At roughly $20–$100/month for most business tiers, it’s the right call for non-technical teams who want automation running today and don’t mind paying a premium for zero friction. (Octave)
Make — the value pick for complex workflows. Visual, powerful, and far cheaper per unit of work. The learning curve is steeper, but for mid-market teams with intricate, multi-step workflows, it pays for itself. (Octave)
n8n — the power user’s and the budget-conscious operator’s tool. The only one with true self-hosting and unlimited executions. Open-source, no per-task meter, full control. It’s more technical to stand up, but if you have the chops (or someone who does), it eliminates the pricing ceiling entirely. (DigitalApplied)
One more thing that matters in 2026: all three now connect natively to OpenAI, Anthropic, and Google Gemini, with purpose-built AI agent workflow templates. (DigitalApplied) So you’re not choosing between "automation" and "AI automation" anymore — you’re choosing the platform you’ll build your agents on.
Worth it if / skip it if
Pick Zapier if you’re non-technical, your volume is modest, and you value getting it working over saving money. The premium buys you simplicity, and for a lot of small businesses that’s the right trade.
Pick Make if your workflows are getting complicated and your Zapier bill is climbing. The visual builder and lower per-operation cost are the sweet spot for growing operations.
Pick n8n if you’re comfortable with a server (or have help), your volume is high, or you just refuse to pay per task forever. Self-hosted n8n is the long-term cost winner, full stop.
My take
Most people start on Zapier because it’s easiest, and that’s fine — it’s a great place to learn what automation can even do for you. The mistake is staying on Zapier out of inertia while your task count and your bill quietly balloon. Watch your usage. The day your Zapier invoice makes you wince is the day to move complex workflows to Make, or to stand up n8n if you’ve got the technical comfort. Start simple, but know your exit.
